Our Story

The Phonix started in 2009 when a group of jazz graduates decided to do more than play background music. We spent seven years as the weekly house band at the Backstage Lounge on Granville Island, learning how to read a room and turn a quiet Thursday into a full dance floor.

That chemistry can't be bought from a roster. It has to be earned. Today our lineup includes GRAMMY, JUNO and CCMA award-winning musicians, and we still play for you, not just in front of you.

    You get one point of contact, a crew that loads in early and quietly, and every document your venue will ask for. We coordinate power, staging and timing directly with you, so your couple never has to.

    Booking & Payment

    How far ahead should we book?

    As early as you can. We play only one wedding per night, so once a date is booked we turn every other couple away. Summer Saturdays go first. Checking your date takes two minutes and costs nothing.

    How do I officially secure The Phonix for my date?

    A signed contract and a 50% deposit lock in your date. Once we receive them, we turn down every other inquiry for that night. You can sign and pay online in minutes through our secure client portal.

    How does payment work?

    A 50% deposit books your date and the balance is due on the day of the event. We accept credit cards (collect those points!), e-transfers, cheques and EFT.

    What if we need to change our wedding date?

    Life happens. With at least 90 days' notice, we will move your deposit to a new date free of charge, as long as we are available on the new date.

    Are there travel fees for weddings outside Vancouver?

    We love road trips! Flat-rate travel fees for popular destinations:

    • Whistler / Pemberton: +$700
    • Kelowna / Penticton: +$1,200
    • Victoria / Nanaimo: +$1,150

    For other locations, just ask for a custom quote.

    These fees cover transportation only. You will also need to provide hotel rooms for 10 or 11 adults (minimum 5 double rooms), depending on your package.

    The Band & Music

    Will the band members in the videos be the same ones at my wedding?

    Yes. Agencies often throw together a pickup band from whoever is free. The Phonix is a dedicated team, and you are booking the 9-piece band you see in our videos.

    The real-life disclaimer: we are humans, not robots. In the rare case of serious illness or emergency, we have a deep bench of Phonix-certified substitutes (often GRAMMY or JUNO winners themselves) so the show goes on seamlessly.

    Can we choose the songs you play?

    Absolutely. In your client portal you mark your must-plays and do-not-plays from our song list. We recommend picking 5 to 10 favourites as a vibe check, then trusting our bandleader to read the room and keep the floor full.

    Want a song that's not on our list? Our Signature and Diamond packages include one custom song, arranged and learned just for you ($750 value). We can learn more for a fee. Just ask!

    Will you learn our first dance song?

    Yes! Our Signature and Diamond packages include one custom song (a $750 value). We transcribe, arrange and rehearse it so it sounds exactly the way you imagined. You can add more custom songs to any package for $750 each.

    What happens when the band takes a break?

    The music never stops. We play curated playlists or a DJ set during every break, so your guests stay on the dance floor.

    How loud will the band be?

    Loud enough to party, quiet enough to talk at the back tables. A professional sound technician mixes the volume live at every event. If your venue has a sound limiter, let us know. We work within venue restrictions all the time without killing the vibe.

    Logistics & Venues

    What do you need from the venue?

    We keep it low-maintenance:

    • Power: two dedicated 15-amp circuits (standard household outlets) near the stage for the Essential Party package, three for all other packages.
    • Space: a performance area of roughly 20' wide by 16' deep (we can squeeze into tighter spots if needed).
    • Shelter: if outdoors, a tent or covering on a flat, dry surface to protect the instruments.
    • Green room: a secure place to change and store our cases.
    Do we need to feed the band?

    Yes, please. A fed band is a happy band! We ask for 11 vendor meals (9 musicians and 2 sound technicians). A hot meal keeps our energy up for your three-hour dance marathon.

    Do you provide a microphone for speeches?

    Yes. Our Signature and Diamond packages include a professional wireless microphone and sound system for speeches and toasts. Our technician watches the levels, so there is no screeching feedback, just clear audio.

    How long does setup take?

    Our production team arrives about 4 hours before guests to load in, set up and soundcheck. Everything is quiet and tidy long before your first guest walks in.

    Do you carry liability insurance?

    Yes. We carry a $1 million commercial general liability policy. If your venue needs a certificate of insurance, let us know and we will email it.
